Workplace Services
Senior Coordinator

 Who will be mainly responsible for the following tasks: 

Management of subcontractors

  • Partnership with providers
  • Office appearance and functionality
  • Refreshment program
  • Meeting room and catering bookings + setup
  • Guest services and hospitality
  • Active participation in KPI meetings
Office communication & Administration

  • Relationships with local office communities
  • Own all communication to the local office communities (emails and chats)
  • Manage and monitor POs
  • Handle and follow-up on invoices for Switzerland
  • Responsible for satisfaction survey
  • In collaboration with H&S Management team, develop, train and maintain a responsive ERT for the Zurich Office.
Office appearance and functionality

  • Maintain a clean, tidy and safe office space by performing regular visual checks on office and meeting space, pantries and sanitary place
  • Coordinate for spot cleaning or other reactive maintenance through the Service Office Provider
  • In cooperation with the Service Office Provider, maintain the clear desk and flexible seating program
Health and Safety

  • Partnership with Corporate Security team
  • Access badges
  • Adherence to local guidelines
Procedures and Standards

  • Stationery and office supplies management
  • Hire support
  • Space planning
  • Office expansions and moves
  • Spend tracking and invoice handling
Additional roles and responsibilities

  • Regular travel between office sites
  • Virtual management style
  • Collaboration within an extended team across the country and more

To respond to these different responsibilities and tasks, we would like to hire a personality with the following profile:

  • Minimum 2 years of experience in office management or workplace services.
  • Experience in the coordination of service delivery.
  • Experience in hospitality preferred but not required.
  • Excellent communication and team player skills - fluent in German and English in spoken and written form.
  • Polite and confident with a great deal of patience, passionate about service, helping and working with people.
  • Can-Do attitude, always willing to go the extra mile. 
  • Ability to make decisions on the spot. 
  • Affinity for using innovative software applications.
  • Ability to work in a fast-paced, dynamic environment and meet deadlines.
  • Excellent multi-tasking, project management and (self-) organizational skills.
